# Your pictures, video and sound in the Asset library > Add a file once, use it in any activity, and see where it is shown before you delete it. The **Asset library** holds every picture, video and sound file you can use in your activities. Open it from **Configuration › Asset library**. The page band shows how much storage your files use. ## Three libraries The tabs at the top are the three places a file can live: - **Personal**: files only you can see. - **Workspace**: shared with everyone making activities in this workspace. - **Organisation**: shared with everyone in your organisation. Only organisation admins add files here. ## Add a file 1. Press **Add a file**. 2. Choose the **File**. It can be a picture, a video or a sound file, up to the size the box shows. SVG pictures are not accepted: save them as PNG or JPEG. 3. Choose **Who can use it**, if you are offered more than one library. 4. For a picture, **Describe the picture**. Screen readers read this out, and every field that uses the picture starts with these words. You can describe it after it is added, too: see **Describe a picture with AI** below. 5. Press **Add file**. If you already have the same file in that library, nothing new is stored. ## Find a file Type in **Search this library…**, or press **Pictures**, **Video** or **Sound** to see one kind. The two buttons beside them switch between a grid and a list. Each file says where it is shown, or **Not used anywhere**. Press a file to open it. You see it, its description, who added it and when, and a list of the places that show it. ## Use a file in an activity Wherever an activity takes a picture, video or sound, press **Choose from the library**. You can pick from every library you can see, or press **Add a file** there to add a new one to Personal. For a picture or a video, the box also has a **Stock** tab: free stock pictures and video from a service you connected with your own key on **Account › Integrations** (see **Use stock pictures and video**). A stock picture is linked from the service's site, not added to your library. ## Describe a picture with AI If your organisation has connected its own AI provider, **Describe this picture** appears under every picture's description: in **Edit details** here, and wherever an activity takes a picture. Your organisation's AI writes a first description into the box. Read it and change it: you know why the picture is there, and the AI only sees what is in it. Nothing is saved until you save, and it never marks a picture **Decorative**. A picture on another website cannot be described: add it to your library first. ## Change or delete a file - **Edit details** changes its name and, for a picture, its description. Places that already use it keep their own description. - **Delete** sends a file to the Bin, where you can restore it. A file that is still shown somewhere cannot be deleted: swap it out where it is used first. ## Merge copies of the same file When the same file is stored more than once (in Personal and in your workspace, say), a line above the library says so. Press **Merge copies**, then **Merge** beside a file. Taktyl keeps the copy the most people can see, points every activity that used another copy at it, and moves the other copies to the Bin, where you can restore them. A copy a published version still shows stays until you publish that activity again. You can merge only copies you could change yourself. You can change a file in Personal if you added it, a workspace file if you work in that workspace, and an organisation file if you are an organisation admin.
